Finance Associate

POSITION OVERVIEW

Oversee the financial activities for Friends of the Desert Mountains. Responsibility for the accounting functions required to provide accurate and timely information on the financial status of the organization. Organize and further develop the financial processes. Oversee the staff policy development and the co-ordination of training.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

        Finance & Accounting

  • Assist the Executive Director (ED) in development and management of annual budget.
  • Work with Finance committee and ED on monthly reports.
  • Assist ED in preparing documents for yearly audits and 990 tax reporting.
  • Manage all financial processes using QuickBooks.
  • Handle all Friends of the Desert Mountains Gift Shop bookkeeping services.
  • Prepare and files Sales Tax reports and returns on a quarterly basis.
  • Prepare and make all bank deposits.
  • Post AR, AP, all credit card and check transactions file copies in corresponding files.  Review outside donation venues and post any donations as received (Donorbox, Stripe, Intuit, Eventbrite & all other giving funds)
  • Process wire transfers as needed
  • Check bank account website weekly for transaction discrepancies or fraud. Approve Positive Pay when Executive Director is out of office.
  • Journal Entries – prepare and post JE’s as needed in QB
  • Maintain Chart of Accounts
  • Reconcile AP, AR, RLF and CVMC and review accounts for accuracy
  • Run Financial Reports Monthly for Finance Committee
  • Equity Accounts “Gants” RLF and CVMC Reconcile Quarterly.  RLF write checks and post to Admin QB accounts. CVMC invoice for reimbursements.
  • Maintain all other grant accounts (Equity)
  • Insurance maintain accruals for posting company insurance in QB and update as needed.
  • Land: Post all land transactions in QB and Maintain Land Data Base spreadsheet. (Land sales, purchases, property taxes and refunds)
  • Audit: Work with auditors to prepare and provide docs and reports for annual audit.  Make all audit adjustments and run final financial statements. Verify balances and accounts are correct per audit and verify 990 tax return to audited financial statement.

        General   

  • Leadership – Maintain a positive, upbeat role, promote and exemplify Friends’ values and represents organization’s objectives and interests to internal and external customers
  • Customer Service – Follow up on complaints, questions, and concerns; respond to internal/external customer needs in a friendly, timely and efficient manner
  • Teamwork – Develop and promote teamwork and cooperation among co-workers
  • Safety – Comply with established safe work practices and attend to all safety-related training provided or made available by the Company.
  • Human Resources: Assist ED with HR duties, New hire packets, I9’s and filings. Verify Live Scan reports through DOJ for employees and volunteers. Must test annually.
  • Events: Assist as needed as well as set up credit card tablets, WIFI equipment to process purchases & donations etc. at the event.
  • Liaison with Telephone repair, Computer Technician, Office equipment repairs and maintenance
  • Other duties as assigned

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. 

  • At least 5 years in financial
  • Proficiency in Microsoft Office (Excel, Word and Outlook)
  • QuickBooks and accounting software knowledge
  • Knowledge of payroll processing
